1. What you can raise
Write to us if you want to:
- ask a question about how Vitaloop processes personal data;
- complain that we have not followed our policies or the law in a way that has harmed you or is likely to;
- ask to see, correct or delete personal data we hold, withdraw a consent you gave us, or nominate someone to act for you;
- ask us to remove a game leaderboard entry;
- tell us about a possible security problem (see also the breach procedure).
You do not need to give a reason for a rights request, and you do not need a lawyer.
2. How to file
Email shobhit@vitaloop.in or write to the postal address above. The button at the top of this page opens an email with the headings below already filled in. Please include:
| Item | Why we need it |
|---|---|
| Your full name and a way to reach you | So we can reply and, where needed, confirm it is you |
| How you deal with Vitaloop | Website visitor, patient of a hospital that uses Vitaloop, or other |
| The hospital, if any | So we can involve the hospital that is responsible for your data |
| What happened, or what you want to know | In your own words. Dates and screenshots help. |
| The outcome you are asking for | For example correction, deletion, an explanation or an apology |
Please do not send government ID numbers, full ABHA numbers, medical records or payment details in your first email. If we need to check your identity we will tell you the minimum we need and how to send it safely.
3. What happens next
| Step | When |
|---|---|
| We acknowledge your message and give you a reference number | Within 3 working days |
| We check who you are, in proportion to what you ask for | At the same time as the acknowledgement |
| We look into it, and involve the hospital where the hospital is responsible for the data | Straight away |
| We send you a written outcome: what we found, what we did, and, if we could not do something, why and under which law | Within 30 days of receiving your message |
The ABDM Health Data Management Policy requires a data fiduciary’s Grievance Officer to resolve a grievance within one month of receiving it. We aim to respond within that time and no later. We record every grievance and its outcome in a register, and review the register regularly to fix the causes.
If we refuse a request, for example because the law requires us to keep a record, we will say which record, which law, and when the position would change.
4. If you are a patient of a hospital that uses Vitaloop
The hospital decides why and how your data is used, so the hospital’s own grievance officer is your first port of call. The hospital’s privacy notice, displayed at the hospital, gives their details. If you write to us instead, we will pass your complaint to the hospital promptly, tell you we have done so, and support the hospital in dealing with it. Vitaloop has no live hospital deployments at present.
5. If you are not satisfied
- ABDM grievance portal. If we do not resolve your complaint, or you disagree with the outcome, you can refer it in writing or by email to the ABDM grievance redressal officer through the grievance portal at grievance.abdm.gov.in. You can also use the portal directly for any complaint about your ABHA or the ABDM ecosystem.
- Data Protection Board of India. Under the Digital Personal Data Protection Act, 2023, you may complain to the Data Protection Board once the relevant provisions apply to your matter. They are being phased in until May 2027.
